Transparency and social responsibility through the disclosure of HECT’s data

The Integrity Program Guidelines for Private Companies (Vol. II), published by Brazil’s Office of the Comptroller General (CGU), highlights that continuous monitoring should include procedures to verify how well the Integrity Program fits the company’s operations. It is also essential to establish mechanisms that make it possible to identify shortcomings and use them as input for the ongoing improvement of the program.

This monitoring is essential to, among other things, detect and correct failures, improve existing measures, track new risks and develop mitigation actions in a timely manner.

To be effective, monitoring must be planned, structured and documented.

In addition to the Guide’s guidelines, the following points are recommended when conducting monitoring:

1. Preparation of a Monitoring Plan;
2. Definition of who is responsible for carrying out this activity, stressing the importance of involving the body responsible for the Integrity Program in this process;
3. Definition of how often monitoring is carried out, which may vary depending on the Integrity Program policy or instrument being monitored and the risks involved in the operations;
4. Standardization of the format and frequency for presenting the information and data obtained through monitoring. For example, the information and data will be included in a quarterly/half-yearly report or made available in a system developed or contracted by the company;
5. Sharing of monitoring results with the company’s highest levels of management.
6. Use of indicators and setting of performance targets;
7. Perception surveys. These surveys can be conducted internally or by companies hired for this purpose. They can be useful, for example, to assess employees’ knowledge of and engagement with topics related to the Integrity Program, and to show how employees or third parties view the commitment of the company and its leadership to a culture of integrity;
8. Documentation and recording of the entire monitoring process.

– The structure of the team that makes up the internal body responsible for the integrity program, including a well-defined reporting organization chart, as well as the position, duties and responsibilities of its members
– The specific section of the company’s website that gathers information on the integrity program
– Compliance Program documents
